With about thirty members VV de Rogsteaker is thè urban carnival association in Weert. All members are volunteers who organize carnival activities in their spare time. A carnival association has a solid organizational structure with a lot of councils and committees. After all, every year there is a lot to be organized. For many clubs and associations it’s difficult to maintain a good and clear administration of all members’ data. Whether it’s a carnival association or a sports club, it’s important that all information is easily accessible to everybody concerned. They often have to deal with volunteers who each work out of their homes at different times and only sporadically meet. With the help of Digital Pioneers an online relations management system has been developed that everyone can adapt to his own organizational structure.

Final products

Eventually an online organization management programme came into being named “Manago”, in which data from members and relations can be stored. An archive is attached with data such as former council functions and committee memberships. These subcategories can be made by everyone and be attached to the introduced individuals and organizations. These data can be kept up-to-date by one or more managers so that they are available every hour of the day for the board, the committees, or the members. Next to this, persons who are entitled to (for instance members of a committee or the board) can easily export data to Excel or, after selecting a group of persons or organizations, draft and combine letters, print out labels, and send e-mails. By means of a system of rights groups can be produced to which individuals or organizations can be attached. For each programme function the rights can be adjusted.

On www.manago.nl, especially realized for this programme, one can download Manago organization management, patches, updates, and the manual. The site is complemented with a forum, FAQ and news. There is background information as well, about the reasons for and the actual building of the application.

Impact

The programme is meant for the administrative tasks within an association. It stimulates participation between the board, the members and the relations. After all, at every time of the day and from every location one can get access to information and work with the data from the database. Small associations too can now use a software system that will save them a lot of work, and a lot of money.
